HOW WE DO IT

To mitigate these risks, TrustedSend will configure a Sender Policy Framework (SPF) record which plays a crucial role by verifying the true sender’s identity at the domain level.  When an inbox provider receives an email claiming to originate from your domain, it checks your SPF DNS record to confirm if the sending IP address or server is on an authorized list.  If the source is verified, the email is delivered; otherwise, the message may be flagged as spam or rejected. 

A properly configured SPF record ensures only approved servers can send emails on your behalf, significantly reducing spoofing attempts.  Conversely, a missing or misconfigured SPF record can leave your domain vulnerable to impersonation and reputational damage.

Technical Jargon

An SPF (Sender Policy Framework) record is a critical DNS (Domain Name System) entry that specifies which mail servers are authorized to send emails on behalf of your domain.  This helps protect against email spoofing and ensures legitimate emails reach recipients’ inboxes.

How Does SPF Work?

1. Configuration by Domain Owner:

  • The domain owner creates an SPF record and publishes it within their DNS settings.
  • This record lists authorized IP addresses or hostnames that are allowed to send emails for the domain.

2. Email Sending Process:

  • When an email is sent, the receiving mail server retrieves the sender’s domain SPF record.
  • It compares the IP address of the sending server with those listed in the SPF record.

3. Validation:

  • If the sending server’s IP matches an authorized IP in the SPF record, the email is considered legitimate and delivered.
  • If the IP does not match, the email may be flagged as spam or rejected outright.
